Guide

Zoom and Setupp. A link in every invite.

Setupp is a meeting scheduler. Connect a host’s Zoom account and every booking of a Zoom meeting type gets its own Zoom meeting, with the join link already in the calendar invite. This page covers adding the app, using it, and removing it.

1.What the Zoom app does

When somebody books a meeting type whose location is Zoom, Setupp creates a Zoom meeting on the host’s own Zoom account, then sends the calendar invite with the join link in it, to the booker and to every host on the booking.

Setupp asks Zoom for two permissions, and nothing else:

  • meeting:write:meeting to create the meeting for a booking.
  • user:read:user to show which Zoom account is connected, so you can tell two accounts apart.

Setupp does not read your other meetings, recordings, chat, contacts or anything else in Zoom, and it never edits or deletes a meeting.

2.Adding the app

Before you start

  • A Setupp workspace. It is free to start at usesetupp.com/signup.
  • A Zoom account for each host who will host Zoom meetings. Meetings follow the limits of that account's own Zoom plan.

Connect a host's Zoom account

  1. Sign in to Setupp and open Integrations.
  2. In the Zoom panel, find the host and click Connect Zoom.
  3. Zoom asks you to sign in, if you are not already, and shows what Setupp is asking for. Check it is the Zoom account you mean to connect, then click Allow.
  4. Zoom sends you back to Integrations, where the host’s row now shows the connected Zoom account’s email address.

Repeat for each host who should host Zoom meetings. If something goes wrong, see Troubleshooting.

3.Using Zoom with Setupp

Make a meeting type use Zoom

  1. Open Event types and choose the meeting type, or create one.
  2. Under Where does it happen, choose Zoom, then save.

What happens when someone books

  • Setupp creates the Zoom meeting on the host's account first, then sends the calendar invite with the join link in it to the booker and every host.
  • The join link is also on the booking in Setupp.
  • Rescheduling keeps the same join link, so the invite everyone already has stays right.
  • A meeting with several hosts uses the first connected host's Zoom account, because a Zoom meeting has one host.
  • If the host has no working Zoom connection, or Zoom does not answer, the booking still goes through, without a Zoom link, and the booking in Setupp says so.

4.Removing the app

Remove Setupp from Zoom

  1. Sign in at marketplace.zoom.us.
  2. Open Manage, then Added Apps.
  3. Find Setupp and click Remove.

What removing it does

  • Setupp stops creating Zoom meetings on that Zoom account straight away.
  • Meetings Setupp already created stay in your Zoom account, and the invites already sent keep their links.
  • New bookings of a Zoom meeting type for that host go through without a Zoom link until a Zoom account is connected again, or the meeting type is switched to another location.

What happens to your data

As soon as Zoom tells Setupp the app was removed, Setupp deletes every connection made with that Zoom account, including the access and refresh tokens. Join links already on bookings stay part of those bookings. To have those deleted too, email support@usesetupp.com. The privacy policy covers the rest.

Switching to a different Zoom account

You do not need to remove the app for that. On Integrations, click Reconnect beside the host and sign in to Zoom as the other account.

5.Troubleshooting

Zoom shows an error instead of the Allow screen

Sign out of Zoom in that browser, sign in as the account you want to connect, and click Connect Zoom again. If Zoom shows an error code, send it to us.

An invite arrived without a Zoom link

Check that the meeting type’s location is Zoom, and that the host shows a connected Zoom account on Integrations. A connection that has stopped working shows Reconnect: click it and allow again.

The wrong Zoom account is connected

Click Reconnect beside the host, and sign in to Zoom as the right account before you allow.
