How it works
What happens when Google Calendar is connected
When a booker opens the calendar, Setupp runs a free/busy query against every required host's connected calendar for the search window. A host whose calendar cannot be read is reported as having no known busy time rather than being dropped from the event. Silently hiding a host from a collective booking would produce a meeting nobody can attend.
When the booking is confirmed, Setupp inserts one event on the connected calendar. Every host is an attendee with optional: false and responseStatus: "needsAction", the booker joins the same list, and guestsCanSeeOtherGuests is true so the room is visible to everyone in it. The insert uses sendUpdates: "all", which is what makes Google, not Setupp, deliver the invitation.
Cancelling in Setupp deletes the same event with sendUpdates: "all", so the withdrawal reaches every attendee the same way the invitation did. Access tokens are refreshed 60 seconds before expiry and written back, so a live connection does not need a weekly repair.
If the insert fails, the booking still completes against a placeholder event and the failure is logged. A calendar outage does not cost you the lead. It costs you the calendar entry, which an operator can repair.
